It’s the beginning of another week. Do you have any plans for this week? Are you planning to do any work or fun things?
Speaking of “Time Management”, I believe that many office workers have paid attention to this issue. In recent years, because I have been teaching everywhere, some students often ask me: “Teacher, I feel that your work efficiency is very good. How do you usually arrange your time and rest?”
Take writing as an example. After I establish a set of processes and mechanisms, I can naturally write a blog article within half an hour. As for doing other things, I think the logic is the same.
Well, when we talk about the topic of “time management”, I can feel that it is really a pain in the hearts of many office workers! Several friends have even asked me if I plan to offer time management courses in the near future. They hope that I can sort out some effective methods to share with you.
As you can imagine, everyone’s calendar must be filled with dense to-do items, work lists and meeting notices, right? But the question is, everyone’s time and energy are often extremely limited. Can you really do all the things you record well?
Maybe we should change our thinking and focus on trying to accomplish things that are valuable and meaningful to us! In today’s program, let Vista share with you how to manage time well!
In fact, when it comes to “time management”, I believe you must be familiar with it, right? These methods are all great, and each has its own scientific basis, but the question is, why do most of my friends still fail after following them? Well, I wonder if you have ever heard of this? Someone once said: “Time cannot be managed, only we ourselves can be managed.”
For example, many people have the bad habit of procrastination. If we don’t first find out the crux of the problem (for example, why do we procrastinate?), it may be difficult to just buy a bunch of time management books and read them, let alone develop the habit of using time effectively!
The late success guru Stephen R. Covey mentioned in the book “Appointment with Time” that people face the challenge of making good use of time every day. He believes that one of the great lessons in life is to prioritize the most important things.
He pointed out that there are two important elements that affect the use of time, namely urgency and importance, but people often confuse these two things. Therefore, the first lesson in time management is to practice distinguishing urgency from importance.
Many people are deceived of their time by “urgent but unimportant” trivial matters, but I would like to remind everyone here: Be extra careful and cautious about those things that seem “important and urgent”!
If you usually have the habit of making to-do lists, maybe you are like me before, and you can’t wait to “annihilate” the work items on top, right? Do you feel an inexplicable sense of pleasure when you see a full to-do list ticked?
But it may not be enough to “eliminate” to-do items. We must also know how to identify high-value work tasks, and then try to reserve our most precious golden time and focus every day for these most important and high-value items. In addition to trying to improve my concentration within a unit of time, I also feel that it is necessary to make good use of notebooks or digital tools to establish my own life task management system.
If you want to manage your time well, you must first learn to focus and concentrate. In other words, we have to learn to focus on “what” we have accomplished, which is more important than “how much” we have accomplished.
[Chris Bailey] (Chris Bailey), the author of “The Most Productive Year” Bailey suggests that you can use the following methods to clarify the tasks or projects that have the greatest impact on you:
- Make a list of all the things you think you should do: Write down all the tasks that must be done on a piece of paper or a document.
- Ask yourself to choose the most impactful job: carefully review these things, and then ask yourself, if you can only do one of these jobs in a day, which one will allow you to create the greatest achievements while spending the same amount of time?
- Ask again, select the second and third most impactful tasks: After selecting the most important one, ask yourself again, if you spend the same time, what are the second and third most important tasks that can create performance for you?
Once you have thought it through, set a fixed time for the things you must do every day. For me, if you need to write, read and record Podcast every day, then you must reserve enough time for these things.
Maybe, you’re worried that you don’t have enough time. So, at this time, I would like to ask you to have the courage to say no to things that are not very important. Having said that, learning to say “no” is actually very important!
In addition, many things do not necessarily require doing it yourself. You must know that “doing everything by yourself” is no longer in line with the trend of the times. You can actually consider entrusting others to handle many things. There are even many channels and methods of outsourcing. As long as you are willing to pay some fees, you can ask others to do many things for you.
If you want to have some margin in your life, it is important to establish a fixed routine and ritual. You must also know how to judge the priorities of various affairs and try to avoid getting into trouble with unnecessary trivial matters. Make good use of the notebook or digital tools at hand to write down all the ideas that come to your mind, and then review them one by one to identify the most valuable and priority items.
We must also try our best to protect our energy and not let the dense calendar kidnap our precious time. Setting aside some time every day to do the things you like, whether it’s studying, exercising, socializing, watching TV shows or just relaxing, is also something that is very helpful to you.
Life must be slow and fast in order to feel its true taste. “Time management” is indeed a big subject, but I think as long as we manage ourselves well and master the principle of focusing on the big and letting go of the small, we will be able to do things with ease.
