If you want to ask what troubles office workers encounter in daily life, I believe that - how to manage business cards will definitely be one of the hot issues that everyone is eager to know.

When walking around the world, why not exchange business cards? The problem is how to manage and store a lot of business cards? To be honest, storage may be quite simple… We have all seen many salesmen or journalist friends just tie up stacks of business cards with rubber bands, and then throw them deep in the drawer. If you are more particular, of course you can also buy a few business card boxes or business card books for storage.

——But, after collecting a lot of business cards, how do we start to manage them?

I still remember that a former EMBA classmate said with a smile that he did not have this problem. Everyone thought the boss had some clever tricks up his sleeve, but it turned out that because he was in a key position, the company sent a capable general manager’s special assistant to help handle such “little things.” But for ordinary office workers, we rarely have this opportunity to enjoy dedicated services!

To be honest, in these years of working in the workplace, I have probably never used it except asking a secretary to do it for me. I have tried almost all other methods! They can be managed with a business card scanner or app, or taken with a mobile phone, or even stored in [Evernote](https://help.evernote.com/hc/zh-tw/articles/209005777-%E5%A6%82%E4%B I have tried all these things in D%95%E7%94%A8%E6%89%8B%E6%A9%9F%E6%8E%83%E6%8F%8F%E5%90%8D%E7%89%87%E5%88%B0-Evernote-) or Google’s cloud database! Strictly speaking, the task of organizing business cards is not only boring and boring, but also very time-consuming and time-consuming… What’s more troublesome is that it is often difficult for everyone to develop the habit of organizing business cards smoothly.

To give another example, do you have similar experience? Obviously I have spent time organizing and filing all the business cards! However, at the critical moment, I still couldn’t find the information of a certain contact person!

Look, is this a common scene in the office?

I still remember that when I was working in the media, there was a senior reporter who was anxious to find the contact information of a certain boss. At that time, he urgently mobilized all colleagues in the editorial department to help… Because the matter was so big, everyone could not care about the pressure of deadline, so they had to drop what they were doing and start filtering through thousands of business cards one by one. I worked hard for a long time just to find a business card.

Years later, I still feel frightened when I think about this incident. Well, this experience was so painful that it still impresses me to this day!

Because I have had many painful experiences with business card management, I caught up with the popularity of apps in the past few years. I even thought about developing a mobile software for people management, with wireframes and operation interfaces already designed! But as the saying goes, “Plans can’t keep up with changes.” Who knew that just a few years later, people wouldn’t like to use apps anymore?

I know that some people are accustomed to writing down some key information on the back of the business card when they receive it (for example: the place where they met, the industry they work for, whether they have any friends in common, etc.). To be honest, I think this is a good way to go! But first of all, I don’t want to ruin the beauty of the business card (I can’t even bear to draw lines in books, and naturally I don’t have the habit of making notes on business cards). Secondly, in this digital age, I always feel that this method is still a bit inconvenient.

Although the app was not successfully developed back then, I found a simple and convenient method. Since I did this, I have never been unable to find contact information at a critical moment!

Okay, I won’t be too pretentious!

In fact, my business card management method is very simple: on the day I receive the business card, no matter how tired or busy I am, I try to write a short and concise greeting letter to the other party. The letters not only state the occasion and opportunity for the encounter, but also leave each other’s contact information and key information.

By writing a letter, you can leave a digital footprint for valuable connections. Isn’t it easy to do this?

You may want to ask, what should I write in this letter? ✔ Take the initiative to mention opportunities and occasions when you met new people. ✔ Briefly introduce yourself and remember to include your contact information. ✔ Hope to keep in touch in the future so that we can ask for help from each other.

Saying hello to the other party is not only a kind of etiquette in the workplace, but we can also deepen our impression of this new friend by writing letters. Of course, what’s more important is that it leaves behind “digital footprints” that can be traced later.

Thanks to the advancement of information technology, the development of search technology of Internet companies such as Google and Baidu can be said to be rapid. Well, it’s so powerful! In other words, as long as my Gmail is always safe, the difficult problem of business card management will naturally be solved. From now on, you can quickly find the contact information by simply entering the name or relevant clues about the time and space background of the encounter.
